Who this is for

This planner is for small business owners, freelancers and creators who post on social media but decide what to share day by day. It helps you settle where to post, what to say and when, so posting stops feeling like a daily emergency.

It works for any platform, because it asks about your own goals and audience rather than following a formula.

How to use it

Plan once a month, then spend a few minutes each week updating the schedule and the numbers.

  1. Set up (about 45 minutes, once). Complete the platform, pillars and idea bank pages. You will reuse them every month.
  2. Plan the month (about an hour). Move ideas onto the calendar so that every posting day has a topic and a format.
  3. Draft captions in batches. Write several together while you are in the same frame of mind, and leave room to adjust before posting.
  4. Publish and tick off. Use the schedule page to mark when each post is made and when it goes live.
  5. Track and review. Record the same numbers each week and complete the review page at the end of the month.

Printing tips

The planner is designed for US Letter paper with generous margins. On A4 paper, choose "Fit to page" in the print dialog and the layout will scale cleanly. Backgrounds are kept white and colors are light, so it prints well in black and white and uses very little ink. Print only the pages you need, and reprint any page you want to redo.

Why content pillars help

Without pillars, it is easy to post whatever comes to mind and end up with a feed that confuses people. Pillars are the three to five themes you return to, such as teaching, behind the scenes, customer results and offers. They make planning faster because every idea has a home, and they help your audience understand what to expect from you. Our guide to mastering one channel explains why focus beats spreading thin, and repurposing content shows how one idea can serve several pillars.

Choosing what to track

Track a few numbers that connect to your goal: reach, engagements, link clicks and new followers or subscribers. Write them down the same way every week, and compare months instead of single posts. To turn your counts into an engagement rate, use the free Social Media Engagement Calculator. And keep in mind that followers belong to the platform, so consider giving people a way to join an email list as well (email list vs. social followers).

Frequently asked questions

Is the planner really free?

Yes. There is no payment, email signup or account. Download the PDF and print it. It is free to print and use for your own business. If you would like to share it, please link to this page.

Do I need to be on every platform?

No. The platform page is designed to help you choose a few. Most small businesses do better with two or three platforms they can keep up than with many they cannot.

How many posts should I plan?

Plan the number you can realistically make and publish. A steady rhythm is more useful than a high number you cannot sustain, and you can always add posts later.

Can I use it for client accounts?

It is free to print and use for your own business. If you manage accounts for others, you are welcome to use it as a working tool; please link to this page rather than redistributing the file.
